A step-by-step guide to setting up and using VenueGuard

Sign Up for Your 7-Day Free Trial

Start by creating your VenueGuard account. Simply sign up with your company details and manager information. No credit card required!

Once you complete the signup process, you’ll be automatically redirected to the Control Centre where you can begin setting up your security system.

To create managers or supervisors, go to the Control Centre → Users section and click “Add User”. Select the role and fill in their details.

Create Your First Venue

Add your first venue to the system. Each venue can have up to 30 scan points for QR code check-ins.

💡 Pro Tip: Multiple Levels

Need more than 30 scan points? No problem! You can create multiple venues for the same building by adding level information:

  • Main Building – Level 1 (30 scan points)
  • Main Building – Level 2 (30 scan points)
  • Main Building – Level 3 (30 scan points)

This way, you can have 30 scan points on each level, giving you unlimited capacity!

To create a venue, go to Control Centre → Venues and click “Add New Venue”. Enter the venue name, address, and any additional details.

Create Guards and Send Login Credentials

Add your security guards to the system. For each guard, you’ll need to:

  1. Go to Control Centre → Guards
  2. Click “Add New Guard”
  3. Enter the guard’s name, email, and create a password
  4. Assign the guard to specific venues

After creating a guard, the system will automatically generate:

  • Login URL – A direct link for the guard to access the mobile interface
  • QR Code – A unique QR code the guard can scan to log in quickly

Send these credentials to your guard via email or text message. They can use either the URL or scan the QR code on their mobile device to log in.

Enable Location Tracking on Guard Phones

For real-time guard tracking to work properly, guards need to enable location services on their mobile devices.

📱 How to Enable Location Tracking

iPhone (iOS)

  1. Go to Settings → Privacy & Security
  2. Tap Location Services
  3. Toggle Location Services to ON
  4. Scroll down and select your browser (Safari, Chrome, etc.)
  5. Choose “While Using the App” or “Always”

Android

  1. Go to Settings → Location
  2. Toggle Location to ON
  3. Open your browser settings
  4. Enable “Location” permission
  5. Choose “Allow all the time” for best results

Important: Location tracking is essential for monitoring guard positions and ensuring accurate check-in records.

Generate QR Codes for Checkpoints

Create QR codes for each checkpoint or scan point at your venues. These QR codes are what guards will scan when they arrive at different locations.

  1. Go to Control Centre → QR Codes
  2. Select the venue you want to create QR codes for
  3. Use the QR Code Generator to create codes for each checkpoint
  4. Name each QR code (e.g., “Main Entrance”, “Level 1 – North Wing”, “Parking Lot Gate”)
  5. Download or print each QR code

📋 Printing Tips

  • Print QR codes at least 2×2 inches (5×5 cm) for easy scanning
  • Use high-quality paper or laminate for durability
  • Place QR codes at eye level for easy access
  • Ensure good lighting at checkpoint locations
  • Keep backup copies of all QR codes

Once printed, place the QR codes at their designated checkpoint locations throughout your venue.

Configure Phone Settings

Customize the guard mobile interface to match your security operations needs.

In the Control Centre → Settings section, you can:

📝 Rename Buttons

Customize button labels on the guard’s mobile interface to match your terminology. For example:

  • Rename “Check In” to “Start Patrol”
  • Rename “Report Incident” to “Log Event”
  • Customize any button text to fit your workflow

📞 Pre-Dial Numbers

Set up quick-dial emergency or contact numbers that guards can access with one tap:

  • Emergency services (999/911)
  • Security control room
  • Manager on duty
  • Venue management
  • Any other important contacts

These settings ensure your guards have quick access to the right tools and contacts when they need them most.

Guards Arrive and Begin Patrol

When guards arrive at their assigned location, they follow a simple process to begin their patrol:

🔐 First Visit Login

If this is the guard’s first visit of the shift, they’ll need to log in using their guard credentials. For subsequent visits during the same shift, they’ll already be logged in.

🏢 Select Building

Once logged in, guards use the dropdown menu in the top left corner to select the building or venue they’re patrolling. This ensures all scans are correctly attributed to the right location.

📍 Find First Checkpoint

Guards navigate to the first checkpoint location and locate the QR code that was printed and placed there during setup.

📱 Scan QR Code

Using their mobile device, guards scan the QR code at the checkpoint. The scan is automatically uploaded to the system.

✅ Confirmation

Once the scan is successfully uploaded, the scan icon turns green to indicate the checkpoint has been completed. Guards can then proceed to the next checkpoint.

💡 Pro Tip: Real-Time Tracking

All scans are recorded in real-time with timestamps and location data. Supervisors and managers can see exactly when and where guards are patrolling, ensuring complete accountability.

Monitor and Review Activity

Supervisors and managers can log into the Control Centre at any time to monitor guard activity and review reports.

📊 View Reports

Access comprehensive reports showing all guard activity, including:

  • Check-in and check-out times
  • Checkpoint scan completion status
  • Time spent at each location
  • Patrol route history
  • Activity summaries by date, venue, or guard

✅ Verify Scan Completion

Quickly check which checkpoints have been scanned and which are still pending. The system provides visual indicators showing:

  • Completed scans (green indicators)
  • Missed or pending checkpoints
  • Scan timestamps and sequence
  • Any gaps in patrol coverage

📷 Review Uploaded Images

Guards can upload images during their patrol (e.g., incident photos, maintenance issues, security concerns). Supervisors and managers can:

  • View all uploaded images in the Control Centre
  • See images associated with specific checkpoints or incidents
  • Download images for documentation or reporting
  • Review images chronologically or by location

🎤 Review Audio Files

If guards have recorded audio notes or incident reports, supervisors and managers can:

  • Listen to audio recordings directly in the Control Centre
  • Access audio files associated with specific events or checkpoints
  • Download audio files for record-keeping
  • Review audio alongside other incident documentation

The Control Centre provides real-time updates, so supervisors and managers can monitor guard activity as it happens. This enables quick response to incidents or issues and ensures guards are following their assigned patrol routes.

To access the Control Centre, simply log in with your manager or supervisor credentials at Control Centre → Login.
