Step-by-Step Guide: How Guards Complete Patrols

Follow this workflow to complete your patrol rounds efficiently and accurately:

Select Building or Location

Before starting your patrol, select the building or location you'll be patrolling from the venue dropdown. This ensures all your scans and reports are correctly associated with the right location in the system.

Tap the QR Code Scan Icon

When you arrive at a scan point, tap the first icon (QR code scanner) on your screen. This opens the scanner interface, ready to read the QR code at that specific location.

Scan the QR Code

Point your device's camera at the QR code located at the scan point. The scanner will automatically detect and read the code, confirming your presence at that specific location.

Scan Point Recorded

After a successful scan, you'll see a notification confirming that the scan point has been recorded. The system automatically time and date stamps the scan and begins uploading the data to the control centre. This creates a verified record of your patrol route.

Optional: Document Issues at Scan Point

If you discover any issues at the scan point location, you can optionally document them using the Take Photo button (top left) or Voice Recording button (top right). When used after scanning a QR code, these media files are automatically connected to that scan point, so the control centre knows to focus attention on or around this specific location.

Upload Confirmation

After successfully uploading any photos or recordings, you'll receive a confirmation message. This ensures you know that your documentation has been received and is available to the control centre.

Move to Next Scan Point

Once you've completed the scan (and optionally documented any issues), move to the next scan point on your patrol route. Repeat the scanning process - you don't need to upload images or recordings if there are no issues to report. Simply scan the QR code and continue your patrol.

Documenting Issues Between Scan Points

If you discover something that needs documentation while moving between scan points, you can use the Take Photo or Voice Recording buttons without scanning a QR code. These will be recorded as separate cases in the system, allowing you to document issues found anywhere during your patrol, not just at designated scan points.

The six action buttons are arranged in a grid (2 per row, 3 rows) and provide quick access to essential functions during your patrol:

Take Photo Button (Top Left)

This button allows you to capture photos during your patrol. When used after scanning a QR code at a scan point, the photos are automatically connected to that location. You can also use this button between scan points to document issues you discover - these will be recorded as separate cases in the system, allowing you to photograph and document anything you find anywhere during your patrol.

Voice Recording Button (Top Right)

This button operates the same way as the Take Photo button. Use it to make voice recordings of issues you discover. When used after scanning a QR code, the recording is connected to that scan point. You can also use it between scan points to record issues as separate cases. Voice recordings can be uploaded with or without scan point usage, giving you flexibility to document findings anywhere during your patrol.

Programmable Button (Middle Left)

This button is fully programmable by the control centre. They can customize both the button text and the phone number it calls. This allows each venue or company to configure the button to call their specific contact - whether that's the main office, a supervisor, or any other designated number. The button text will display exactly what the control centre has configured.

Programmable Button (Middle Right)

Like the middle left button, this is also fully programmable by the control centre. They can set custom button text and assign any phone number. This flexibility allows for venue-specific configurations, such as calling the security desk, reception, or any other designated contact point.

Dial 999 Button (Bottom Left)

This emergency button is pre-setup to call 999 (UK emergency services). Use this for serious incidents requiring immediate police, fire, or medical assistance. The call is automatically logged in the system for record-keeping and accountability.

Alarm/Beacon Button (Bottom Right)

This button is designed for distress situations. When activated, it plays a siren sound and the button flashes as a beacon. This is particularly useful if you need to be found in the dark or find yourself in distress. The flashing beacon helps rescuers locate you quickly, while the siren sound provides an audible alert. The system also immediately alerts the control centre with your location and creates an incident log.

Key Features for Guards

1. Easy Login

Guards log in with their unique guard name and password. The system remembers their last selected venue for quick access.

2. Venue Selection

Guards can switch between multiple venues they're assigned to, making it easy to manage patrols across different locations.

3. GPS Tracking

GPS tracking is enabled at all times while using the VenueGuard app. This ensures the control centre always knows your location for safety and accountability. Please note: GPS tracking requires your mobile device to allow location information permissions. Make sure location services are enabled for the VenueGuard app in your device settings.

4. Real-Time Updates

All actions are logged in real-time, so managers and supervisors can see what's happening as it occurs.

5. Offline Capability

Guards can continue working even with poor connectivity. Data syncs automatically when connection is restored.
